Are PDFs Slowing Your Document Production?

One challenge faced by print service providers (PSPs) is dealing with ‘print-ready’ PDF files supplied by their customers. Often, these files are laden with mistakes, such as missing resources or improperly structured content, that can derail the print process and cut into productivity. PSP team members spend valuable time troubleshooting errors in PDF files rather than executing productive tasks.

Common PDF File Challenges

PDF files with missing resources are not uncommon. Customers may neglect to include fonts, images, or other elements necessary for accurate printing. When these resources are missing, printing firms must spend time sourcing or recreating them, which can be time-consuming and costly. To moderate the impact of missing resources, some PSP firms require customers to send all the source files along with the PDF, so PSP technicians can reconstruct the PDF files to include the missing items. While this approach saves time, it also lengthens file transfer time and requires PSPs to store and secure resources they may never need.

Inefficiently constructed PDF files also pose a challenge for printing firms. These files may have improper formatting, incorrect color profiles, or other issues that can affect production efficiency and the quality of the printed output. Correcting these issues requires manual intervention and can cause longer turnaround times. Examples might include images rendered at resolutions that exceed that of the printing device or duplicate resources, such as logos that appear on every page.

Unless PSPs correct such files, they take longer to process through the raster image processor (RIP) in the digital front end (DFE) of the printer. When the RIP can’t keep up with the production speed of the printer, PSPs experience longer print times. This delay disrupts the production schedule and can put SLAs in jeopardy.

PSPs also struggle with monster-size PDF files, mostly because of inflated font sets. Handling extremely large files consumes valuable time they could use for production and increases opportunities for data corruption or delays. The longer it takes for a file to be processed, the greater the risk of unexpected problems.
